We invite delegations and partner organisations to express interest in hosting a display or exhibition during the Conference. Due to space limitations, interested organisations will be provided with an exhibition space for two days and then alternate, giving the chance for more content to be displayed during the whole duration of the Conference. Please note:
  • Space is limited and will be allocated based on diverse relevance and representations.
  • Display structures must not exceed 1.5 meters in width.
  • All displays must be freestanding (no wall-mounting or hanging allowed).
  • No electricity connection will be provided. 
  • Any additional materials brought (e.g., roll-ups, props, posters) must fit in this space, be easy to move and take down, follow the sustainability guidelines, and be in line with the Code of Conduct and the Scouting and Guiding values.
Delegations wishing to host a reception during the Conference (e.g., national evening, celebration, etc.) are welcome to express their interest. Space and time slots are limited, so early applications are encouraged. The hotel will manage the receptions. Express your interest here.

We are offering a limited number of delegation meeting rooms outside programme hours for internal use (e.g. briefings, planning, debriefs).
 
To request a room, schedule a reception or request an exhibition spot, please fill in this form by 30 June 2025.
Simultaneous interpretation in the official working languages will be available during key plenary moments. Headphones will be needed for this purpose.
 
Please ensure that all delegates who will use the interpretation services have smartphones and bring their own headphones. We remind you that the languages of the events are English and French; contributions in both languages are therefore expected.
Delegates are requested to wear their Scout uniform during Plenary sessions and workshops, and the official Opening and Closing Ceremonies. For the evening activities (international evening, the Vienna evening), participants can wear more comfortable clothing.
 
Guests and partners can wear business casual.

For World Scouting Participants:

  • Breakfast is included with each night booked at the conference hotel.
  • Lunch and coffee breaks will be provided from July 20 to 23.
  • Dinner will be provided on July 20, 22, and 23.

For WAGGGS Participants:

  • Breakfast is included with each night booked at the conference hotel.
  • Lunch and coffee breaks will be provided from July 21 to 23.
  • Dinner will be provided on July 20, 22 and 23.
