Secure your Early Bird fee at the 18th European Guide and Scout Conference by completing your the registration for your delegation and payment by 19 January 2025. Act now to choose the early bird package, which includes accommodation, and save on your fees.

How to register

To register for the 18th European Guide and Scout Conference and the concurrent respective governing assemblies, National Scout Organizations (NSOs) of the European Region of WOSM and Member Organizations (MOs) of the Europe Region WAGGGS must first nominate a Head of Delegation who will subsequently be the principal contact person. National Scout Associations (NSAs)  from WOSM or Component Associations (CA) from WAGGGS will attend the Conference as part of the delegation of the NSO (WOSM) or MO (WAGGGS) they are part of.

Why choose the Early Bird package?

Registering between 26 November 2024 and 19 January 2025 gives you access to the early bird package—a comprehensive, cost-saving option that includes both the conference fee and accommodation at the Arcotel Wimberger.

After 19 January 2025:

  • The conference fee only (excluding hotel) will be €975 if completed by 22 February 2025.
  • After this date, the fee will increase to €1175 (excluding hotel).

What's included in the Early Bird package?

  • Approved Conference fee.
    • WOSM – 19 July to 23 July (5 days)
    • WAGGGS – 20 July to 23 July (4 days)
  • Insurance in case of non-participation
  • Accommodation at the venue Hotel (for the booked number of days)
  • All breakfast, lunch and dinners / except 19 July (WOSM 1st day) and 22 July free evening
  • Local transportation costs
  • Offsite programme
    • International evening
    • Vienna evening
    • Closing event
  • Due to the hotel T&C, the package price (including accommodation) is only available from 26 November 2024 to 19 January 2025.

Delegation roles

Each delegation must be composed of the following roles:

Head of Delegation

Responsible for leading their delegation. They will be responsible for the credentials to access the World Scouting eVoting system.

Delegates

Individuals who represent their Member Organization in decision-making processes.

Observers

Individuals who participate in the event and can join in discussions.
